Vendor Rules & Regulations
These guidelines are intended to keep Chamber events safe, professional, and enjoyable for vendors, participants, and the community. By applying as a vendor, you agree to follow these rules.
1. Vendor Compliance
Vendors must follow all Chamber event rules and comply with applicable city, county, and state laws regarding health, safety, building, fire, and business practices. The Chamber reserves the right to interpret and enforce these rules at its discretion. Any violation may result in immediate removal from the event without refund and may affect future participation. Rules may be updated as needed to reflect organizational or regulatory changes.
The Chamber reserves the right to walk through and observe vendor spaces during events to ensure compliance with all of these rules and regulations.
All vendors not selling food or beverages will not give away food and drinks.
2. Prepared Products
All items sold must be made by the vendor. Products considered “prepared foods” must follow the Missouri Food Code: https://health.mo.gov/safety/foodsafety/pdf/missourifoodcode.pdf.
Examples:

Allowed without a commercial kitchen: baked goods such as cookies, breads, or fruit pies.

Not allowed without a commercial kitchen: prepared meals such as casseroles, pasta dishes, or items requiring refrigeration (ex: mac & cheese, potato salad).
Vendors must contact Johnson County Community Health Services to confirm whether their product qualifies for exemption or requires inspection/approval. The Chamber will verify this clearance before approving participation.
Prepared Product Vendors must tell us who they talked to at Johnson County Community Health Services, and the date they called.
Products made in a non-regulated or non-inspected kitchen must display a clearly visible sign stating:
“These food items were prepared in a kitchen not subject to regulation or inspection by the Missouri Department of Agriculture.”
3. Food Trucks & Temporary Food Vendors

Vendors must have a valid permit from Johnson County Community Health Services before the event. Proof of this permit will be required by the Chamber prior to participation.

Vendors are responsible for arranging inspections and paperwork.

No open flames are permitted.

Food vendors must:

Provide a visible trash can (minimum 13-gallon) for customer use.

Remove cooking oil, grease, and waste from the premises.

Keep an up-to-date dry chemical fire extinguisher at their booth.

Failure to meet these requirements may result in removal from the event.
4. Vendor Requirements

Taxes – Vendors are responsible for collecting and paying Missouri sales tax. See www.dor.mo.gov.

State Guidelines – All food vendors must follow Missouri food safety rules. See the Farmers’ Market Food Safety Brochure.

Eggs (if applicable) – Vendors selling eggs must have a current Missouri Egg License (renewed annually July–June). Proof of license will be required by the Chamber.

Meat (if applicable) – Vendors selling meat must provide frozen, USDA- or Missouri-inspected products with proper labeling. Proof of inspection will be required by the Chamber.

➡️ Verification: The Chamber reserves the right to request and verify documentation for all food vendors, including health permits, licenses, and inspection records, prior to or during any event.
5. Vendor Conduct

Vendors, employees, helpers, and patrons must treat others with respect.

Inappropriate behavior, foul language, or intoxication may result in immediate removal without refund.

Setup and teardown details will be provided per event. Vehicles parked within event space (on events where that is allowed) must remain until closing time.
6. Sound, Pets & Cleanliness

Sound - Noise must be kept at a reasonable level. Amplified speakers or disruptive sounds are not allowed. The Chamber reserves the right to limit sound or remove a vendor if necessary.

Pets - Vendor pets must remain leashed or secured away from attendees.

Cleanliness & Setup :

Booths must be neat, professional, and safe.

Canopies must be secured with adequate weights (recommended: 40 lbs. per leg). During high wind advisories, canopies may be removed, but food must stay covered.

Vendors are responsible for cleaning their space and removing all trash, grease, or waste off-site.

Food vendors and trucks must provide a visible trash can for customer use (minimum 13-gallon).

7. Refunds
Vendor fees are non-refundable once payment is received. Refunds will only be issued if the Chamber cancels or reschedules the event.
8. Advertising & Media
The Knob Noster Chamber may take photos or video at events for promotional use in print, social media, press, and advertising. By participating, you consent to the use of your image, voice, and/or name without compensation.
Vendors are encouraged to share, tag, and promote Chamber events on their own platforms.
9. Vendor Type Limitations
To ensure variety and balance, the Chamber may limit the number of vendors offering the same type of product. This includes, but is not limited to, multi-level marketing (MLM), third-party, white-label, or duplicate handmade/crafted goods. Acceptance of these vendors will be determined at the discretion of the Chamber for each event.
